Workplace Experience Coordinator 

Location: Tartu, Estonia

 

Position Type: Part-time (20 hours per week) 

Monday to Friday from 9.30-13.30 on-site

Location: Väike-Turu 8, City Centre, Tartu

 

Summary: We are looking for an Workplace Experience Coordinator who will help keep our Tartu office running smoothly and make it an enjoyable, safe and welcoming place to work.
This role combines two meaningful areas — work environment and occupational health & employee well-being — offering variety, impact, and a sense of purpose every day. Your work will directly influence/impact the well-being and daily experience of more than 70 team members across the company. You’ll be joining an international organization and playing a key role in keeping our local office efficient, functional, and full of good energy.
We'll be reaching out directly to candidates whose CVs stand out to us. The application process includes several stages, including a written take-home assignment.


Your Main Areas of Responsibility

🏢 Work Environment & Office Operations

  • Keep the office organized, well-stocked and running efficiently.
  • Manage ordering of office supplies, snacks and services.
  • Oversee repairs, furniture and workspace arrangements.
  • Coordinate weekly food and drink deliveries and support event catering when needed.
  • Organizing quarterly office events and helping to coordinate yearly company events.
  • Ensure a comfortable, safe, clean and inspiring workspace for everyone.
     

💚 Occupational Health & Safety

  • Promote ergonomic practices, ensure clean and comfortable work setups.
  • Oversee occupational health documentation, risk analyses, and safety training.
  • Ensure compliance with safety regulations and fire safety protocols.
  • Foster a culture of well-being and safety throughout the office.

  • A self-motivated person.
  • Prior experience in administrative or office management.
  • Excellent communication skills in both written and spoken Estonian and English, with the ability to ensure your messages are clear and well understood.
  • Strong computer and digital skills, with the ability to learn new tools easily.
  • A strong sense of responsibility, organization and initiative.
  • A creative and imaginative person who finds solutions and thinks beyond the obvious.
